Projectify ITSec SRL (company number 38688609, “Projectify”) is committed to protecting the privacy of our candidates, clients and users of our website. We will ensure that the information you submit to us by email, via a job board, via a portal or through our offices is only used for the purposes set out in this policy.
We need to collect information about you as an essential part of providing our services. The information we collect and how we use it is explained below.
For Work Seekers
Projectify may collect your personal details, including but not limited to your name and contact details (together with your email address) and other relevant information from your CV, covering letter, job board registration forms, application email, application via portal or via a telephone call.
We request that you do not share sensitive personal information with us, such as race; ethnic origin; politics; religion; trade union membership; genetics; biometrics (where used for ID purposes); health; sex life; or sexual orientation. Where we identify these categories of data in the information we collect, we will immediately delete them. Information is held, used and disclosed by us as follows:
- To provide our services to you;
- To maintain our business relationship with you, whether you are a prospective or actual candidate or a user of our website;
- To enable you to submit your CV for general applications or to apply for specific jobs;
- To match your details with job vacancies, to assist us in finding and securing a position that is suitable for you and to send your personal information to clients as part of the job application process;
- To promote and share information about our other products and services that we think may be of interest to you.
- To answer your enquiries;
- To contact you about roles that may be of interest to you or to contact you to find out whether you are in need of our services. You are able to unsubscribe from such communications;
- To fulfil contractual obligations with our clients;
- When you have been placed by us in a role, your personal information may be accessible by our team in the Czech Republic to enable them to provide you with associated services such as contract generation or invoice processing. We will notify you in the event we wish to transfer your data in order to explore job opportunities for you outside the European Economic Area (EEA) and we will give you the opportunity to withhold your consent to such transfer;
- To trusted third parties where we have retained them to provide services that you or our clients have requested, such as reference, qualification and criminal reference checking services (as required), verification of the details you have provided from third party sources, psychometric evaluations or skills tests. These third parties comply with similar undertakings of privacy and confidentiality to Projectify;
- To third parties who perform functions on our behalf and who also provide services to us, such as professional advisors. These third parties comply with similar undertakings of privacy and confidentiality as Projectify;
- If Projectify forms any additional companies, we may share personal information with the new employees of the company to enable them to provide recruitment services to you;
- We may also release personal information to regulatory or law enforcement agencies, if they require us to do so. We will also disclose your information where we are permitted and requested to do so by law;
- We may also seek your consent to collect, hold, use and disclose your personal information for any other purpose not listed above; and
Curriculum Vitae (“CV”):
We give you the option of submitting your CV in response to an advert, uploading your CV to our candidate portal, submitting it via a form on our website or by providing your CV to one of our consultants. We may also obtain your CV from jobs boards we subscribe to (which include LinkedIn); if we do, you will be informed that we have obtained your CV in this way. Your CV will be stored in Projectify database and will be accessible by Projectify recruitment consultants in European Union.
You can update your CV at any time by following the same procedure to submit a new CV. Your old CV will automatically be archived providing the submission details remain the same (for example you submit both CVs using the same email address or you advise the relevant contact of your new submission).
For Client Contacts
This relates to the personal information Projectify collects about you where you are a contact at one of our clients, at a prospective client, umbrella company or personal service company involved in the supply of services to a hirer.
We may collect personal information about you when:
- We contact you with a view to providing services to you including via a telephone call; or
- You contact us by email or via our website contact form expressing an interest in working with us; or
- You provide us or our employees with your business card or other information; or
- You post information or advertisements on job boards or social media websites; or
- We provide services to you or you provide services to us; or
- We complete contractual documentation relevant to services provided.
We will usually collect the following information from or about you:
- Your name;
- Your address;
- Your phone and email details;
- Details of your role, title and responsibilities within your organisation;
- Where you are a client:
- any opinion or feedback you share with us regarding a candidate or consultant;
- details of any queries you raise with us regarding services;
- details of any recruitment and/or resourcing requirements or plans you share with us.
Information is held, used and disclosed by us as follows:
- To provide our services to you;
- To maintain our business relationship with you;
- To promote and share information about our other products and services that we think may be of interest to you.
- To answer your enquiries;
- To fulfil contractual obligations with our clients;

Your Rights
If you would like to make a request under your rights described below, please contact GDPR@projectify.ro. We will acknowledge your request as soon as we are able, and action your request within 30 days. We may ask you to verify your identity and for more information about your request. Where we are unable to comply with your request, or where we are legally permitted to do so, we may refuse your request and will give you reasons for doing so.
Access, data portability & rectification: You have the right at any time to ask us for a copy of the information supplied by you that we hold. We have the right to charge an administrative fee for this service, and we will supply your data in portable formats including: PDFs and CSV files. Where you identify errors or omissions in the data we hold on you, you can request rectification or completion of your record. Your data will not be processed whilst a request for rectification is outstanding.
Erasure, objection & restriction of processing: You also have the right to ask Projectify to stop using your information. However, if this involves a request for deletion of your file, please be aware that we may not be required or able to do so, particularly where your file also holds information about our clients or financial information that we need to keep for periods of up to seven years.
Automated decision making & profiling: We do not use automated decision making or profiling in any area of our operations.
Data retention: Normally, we will retain your data for four years from the date you are registered on our database. Where we have placed you in a permanent position or on a contract assignment, we will retain your data for a maximum of seven years.
Changes to our Privacy Notice: This privacy notice may be changed by Projectify at any time. If we change our privacy policy in the future, we will advise you of changes or updates to our privacy notice by a prominent notice on our website. Continued use of this website or our services after such changes will constitute your acceptance of such changes.
